Records Clerk (PIDG/RIM 1) Admin & Office

Job Purpose

 

Under the direction of the Administrator (GMG/AM 3),  the Records Clerk (PIDG/RIM 1) is responsible for all clerical duties, as well as to provide administrative support to the Division.

 

 

Key Responsibilities

 

Management/Administrative:

         Processes incoming request for information;

         Conducts research and provides information;

         Types letters, memoranda and other correspondences;

         Files and maintains all correspondence;

         Assists in updating and maintaining Attendance Register and prepares monthly reports;

         Receives and dispatches telephone calls;

         Monitors the purchase of stamps for regular and registered mails;


 

 

     Assists in ensuring that telephone calls are recorded, bills checked and private calls are paid;

         Assists in maintaining leave records for the Division;

     Assists in making request to the Procurement Unit for the maintenance of stationery and office supplies;

         Performs  any other  related  duties  which  may  be  assigned  by  the  Administrator  or

Director from time to time.

         Proficient in the relevant software applications

         Good report writing skills

 

 

Minimum Required Qualification and Experience

 

     Graduated from a Secondary Institution with four (4) CXC or GCE O Level subjects including English Language and a numeric subject, plus on-the-job training in Records and Information Management.

 

 

Special Condition Associated with the Job

 

         Exposure to dust.
