ADMINISTRATIVE ASSISTANT/ANALYST

GK FOODS CENTRAL - BUSINESS SYSTEMS UNIT

 

Reporting to the Chief Information Officer - GKL, the incumbent will be responsible for:
  • Providing direct support to the Chief Information Officer, Business Systems Manager and Business Systems team within the Department. 

     

  • Initiating and coordinating administrative matters in order to facilitate efficient and effective communication and workflow under the direction of the Chief Information Officer and Business Systems Manager.

 

KEY RESPONSIBILITIES

  • Provide administrative support, including scheduling of meetings, handling correspondence, preparing minutes and collating reports for distribution and scheduling/preparing facilities as required
  • Computer Asset Management and Docusign Accounts/Licenses Management
  • Prepare Schedules and Purchase Orders generation
  • Process weekly receivables of computer shipments from custom brokers
  • Assist with the development and maintenance of a contract management system
  • Coordinate the timely completion and conveyance of legal documents that are sent to Secretariat for vetting
  • Maintain listing of major IT services being provided to GK Foods companies and their associated contracts and service level agreements
  • Coordinate travel arrangements, meetings, staff events and functions, as required.
  • Manage stationery supplies and budget and analyse invoices and expense reports, as required
  • Assist the Chief Information Officer, Business Systems Manager and other team members with special projects, including preparation of CAPEX and project documentation, as required
  • Maintain Business Systems Unit’s SharePoint site
  • Assist in staff welfare initiatives for the department/unit and Company

 

ACADEMIC/ PROFESSIONAL REQUIREMENTS

  • Bachelor’s degree in Business Administration/Management or related field
  • Three (3) years’ experience in an administrative position
  • Proficiency in the use of the computer and relevant software, in particular word processing, presentation, spread sheet and scheduling applications.
  • Knowledge of SAP, an asset.
