Under the supervision of the Department Head - Human Resource Management the Administrative Assistant l, provides administrative support to the Human Resource Management Department. The incumbent is responsible for processing information, managing data in MyHr+, scanning, uploading and filing all the data in the HR Department. The Administrative Assistant also provides the telephone and reception services and gives general administrative support to the HROs in the department and other members of staff.

Core Functions:

  • Provides efficient management and day to day administration of the MyHr+ system.
  • Organizes, scans and uploads documents to the MyHr+ system on a daily basis.
  • Sorts, records, dispatches and maintain registers for all in-coming and out-going correspondence.
  • Prepares and photocopy various materials and documents. 
  • Makes appointments/schedule meetings and inform Department Head accordingly.
  • Requests stationery supplies for the department and maintain goods inventory records.
  • Assists in scheduling monthly meetings for the HR Department
  • Assists in providing loan forms and other HR documents to staff and give guidance where necessary.
  • Assists with planning and organizing HR related functions.
  • Prepares HR documents and materials properly for circulation.
  • Assists in contacting employees for training and on boarding in a timely manner  
  • Records minutes at meetings and produces draft and final copies.
  • Manages the employee filing system by maintaining and updating personal files daily.
  • Maintains, Organizes and coordinates documents in the filing room.

Minimum Requirements:  

Associate Degree in Business Administration OR Business College/CAP Qualification 
High School – 6 CXC’s including -   English and Mathematics.                  
1-3 years’ experience as a Secretary or Administrative Assistant 


  • Highly proficient in Microsoft Office Suite
  • Good records management skills
  • Excellent verbal, written communication skills.
  • Team-oriented and cooperative
  • Good interpersonal skills
  • Good planning and organizational skills

Salary Package Range J$1.6 – J$1.8 million
